Outlook 2011 for Mac - Create and Edit a Contact Group (Formerly Distribution Lists) This article explains how to create and edit a contact group in Outlook 2011 for Mac. In previous versions of Outlook, this was known as a distribution list. A contact group is a grouping of email addresses collected under one name. Note: This article applies to Outlook 2011 as used on an Apple Mac. If you're using Outlook 2007 or 2010 on a Windows PC, or Outlook Web App (OWA), please refer to FAQ 2314 instead. A contact group is a way of grouping email addresses together so that you can send email to a number of recipients without having to type in all the addresses separately. One of my users sent in a ticket today asking why the Contact Group option in the Contacts window was grayed out in Outlook 2011. ![]() Once that’s done, the option to add a Contact Group should become available in the Contacts window. Disabling the Hide On My Computer folders option • Click on the Outlook menu in the menu bar. • Select Preferences • Once the Outlook Preferences window opens, click the General icon. • In the General window, uncheck the box next to Hide On My Computer folders. • Close the Preferences window. This information is also available in the Outlook 2011 help files. To find it, go to the Help menu in Outlook 2011 and search for Create a contact group. The directions should be in the If Contact Group is not available section. There’s no practical limit to the number of contacts you can add to your Microsoft Outlook for Mac 2011 contacts list. Before long, you may have dozens—or even hundreds—of contacts stored in Outlook for Mac. Fortunately, Outlook makes it very easy to keep contacts organized. You can change the appearance of the Contacts view to sort contacts in a different order or display information in a different layout. You can assign one or more categories to contacts to put them in context. You can group contacts into folders. You can also search for contacts based on one or more fields of information and save those searches as smart folders, making it easy to find the same contacts again. Practice Files Before you can complete the exercises in this chapter, you need to have at least six contact records set up in Outlook. If you have not created your own contact records, you can copy the ones in the Chapter10 practice files folder. (These are the same contact records found in the Chapter09 practice files folder; if you have already copied them, do not copy them again.)
